TeamOS Sub-Processor Register

This register lists all third-party sub-processors that process personal data on behalf of TMS Global as part of the TeamOS platform (app.team-os.ai). It supplements the TeamOS Privacy Addendum.

Current Sub-Processors

  1. Microsoft Corporation (Azure OpenAI Service)

    • Location: Australia East
    • Purpose: AI model processing for conversational features and insights
    • Data Processed: Conversation data, psychometric assessment extracts (redacted)
    • Transfer Mechanism: N/A — processed in Australia

  2. Microsoft Corporation (Azure Cloud Infrastructure)

    • Location: Australia East
    • Purpose: Application hosting, database, file storage, authentication (Entra ID)
    • Data Processed: All platform data, user accounts, stored files, Azure AD Object ID / tenant ID / email (Teams SSO users)
    • Transfer Mechanism: N/A — processed in Australia

  3. Clerk, Inc.

    • Location: United States
    • Purpose: Authentication (email and social login users)
    • Data Processed: Email address, name, session data
    • Transfer Mechanism: SCCs (EU 2021/914)

  4. Resend, Inc.

    • Location: United States
    • Purpose: Email delivery for system notifications and platform communications
    • Data Processed: Email address, message content, delivery events
    • Transfer Mechanism: SCCs (EU 2021/914)

  5. Cloudflare, Inc.

    • Location: Global (edge network)
    • Purpose: Content delivery and DDoS protection
    • Data Processed: IP address, request metadata
    • Transfer Mechanism: SCCs (EU 2021/914)

Key Facts

  • AI processing stays in Australia. Conversation data and psychometric assessment extracts are processed by Azure OpenAI Service in the Microsoft Azure Australia East data centre. Microsoft does not use your data to train AI models.
  • Database and storage stay in Australia. All platform data is hosted on Azure PostgreSQL Flexible Server and Azure Blob Storage in Australia East.
  • Only three sub-processors involve US transfers: Clerk (authentication), Resend (email delivery), and Cloudflare (CDN/security). All are protected by Standard Contractual Clauses.
  • Pre-send redaction: Direct identifiers (names, emails, account numbers) are automatically redacted before data is shared with AI processors.

  • 10 March 2026 — OpenAI, Inc. removed — AI processing migrated from OpenAI (US) to Azure OpenAI Service (Australia East). Supabase, Inc. removed — database migrated from Supabase/AWS Sydney to Azure PostgreSQL Flexible Server (Australia East); file storage migrated from Supabase Storage to Azure Blob Storage (Australia East).

How to Be Notified of Changes

We will notify subscribers at least 30 days before any new sub-processor begins processing personal data. To subscribe, email info@teammanagementsystems.com with the subject line "Sub-processor notifications."

If you object to a new sub-processor, contact us within 14 days of notification. We will work with you to address your concerns. If we cannot resolve the objection, you may terminate your use of the affected features.
